Guide to Client Consent & Privacy at 3X4

This guide explains how your clients consent to share their 3X4 genetic results with you, and what to do when your client's test wasn't ordered through your 3X4 practitioner portal.

Why does 3X4 require consent?

3X4 follows best practice guidelines when genetic reports are shared beyond the original agreement, treating genetic data as sensitive personal information. Getting consent from the person the data belongs to is fundamental to our approach to privacy: we treat personal information as strictly confidential and protect it from unauthorized use.

These policies protect the client, the practitioner, and 3X4. We apply them the same way for every request, with no exceptions.

Standard consent process

When you order a 3X4 test for your client through your 3X4 practitioner portal, your client is prompted to consent to sharing their results with you when they register their kit.

If you register the kit on your client's behalf in your 3X4 practitioner portal, your client doesn't complete this step themselves. In this case, you're responsible for obtaining your client's consent, as outlined in the 3X4 Practitioner Terms of Service.

Manual consent process

If your client's test wasn't ordered through your 3X4 practitioner portal, your client needs to email their consent to 3X4 from the email address registered to their 3X4 account.

When this applies

  • Your client ordered a 3X4 Health test through the 3X4 website or the 3X4 Health app.
  • Your client's order was placed through one of our third-party partners: Evexia, Fullscript, or Rupa.
  • Your client's order was placed through a different practitioner or clinic.

What you'll need before your client requests consent

  1. Your 3X4 practitioner account email address or practitioner code. Your client needs to include one of these in their request so we can identify your account. Your practitioner code is available on your profile, on the top right of your 3X4 portal. If you don't have an account yet, create a free 3X4 practitioner account.
  2. The email address registered to your client's 3X4 account. You may need to ask your client which email address they used to register their kit, or check their order or patient record on the third-party platform.

How to request consent

There are two ways to request consent:

  • Your client emails 3X4. Your client emails support@3x4genetics.com from their registered email address. In the email, they state clearly what they're requesting (for example, "Please link my 3X4 genetic results to my practitioner") and include your 3X4 practitioner account email address or practitioner code. See Template 1 below.
  • You email your client, with 3X4 copied. You email your client from your 3X4 practitioner account email address, copy (CC) support@3x4genetics.com, and ask your client to reply-all with their consent. See Template 2 below.

What counts as valid consent?

For consent to be valid:

  • The request is clear about what is being shared and with whom.
  • We can verify the identity of the practitioner or clinic gaining access.
  • The request comes from the email address registered to the client's 3X4 account.
What doesn't count as valid consent?
  • A phone call. We need to receive the request by email.
  • An email from a different address. The request must come from the email address registered to the client's 3X4 account.
  • A request from anyone other than the client. This includes a family member, friend, practitioner, clinic staff, or sales representative. You can start the email, but the consent must come from your client.

Frequently asked questions

Can I send the request on my client's behalf?

Yes, as long as you copy your client's registered email address and your client replies with their consent.

My client doesn't remember which email address they used. What now?

  • The email address that received order or kit emails from 3X4 is usually the registered one.
  • If your client ordered through a different practitioner, they can ask that practitioner to check their 3X4 portal for the email address used.
  • If your client ordered through Evexia, Fullscript, or Rupa, the platform should have a record of the email address used.
  • If your client still can't identify the email address, they can call us at +1 (425) 818-5333 for help finding it. Please note that we can't accept consent by phone.

What if my client wants to use a different email address?

The consent email must still come from the registered address. Your client can ask about updating their email address in the same message.

Can my client revoke their consent later?

Yes. The results belong to your client, and they can email support from their registered address at any time to revoke consent.

Who should I contact with questions?

Email support@3x4genetics.com.
